Who is responsible

What we process and why

Booking request

When you request an appointment, we process your name, your email address and/or phone number, the date you would like, the channel you choose and — only for escort to your address — the visiting address you provide. Purpose: to contact you in order to confirm and carry out the appointment. Legal basis: your consent and the performance of the agreement.

Travel cost calculation

We use the address you enter in the travel cost calculator solely to work out the distance from the club. For that, the address is sent to the geographic services PDOK (Kadaster, the Netherlands) and OpenStreetMap. We do not keep individual calculations.

Job application and earnings check

If you apply to work with us, we process the details you enter yourself — including your name, date of birth, contact details and any photos you upload. Purpose: to assess your application and to contact you. Legal basis: your consent. You may withdraw that consent at any time.

Chat window

The messages you type in the chat window are processed so that your question can be answered. Please do not enter special categories of personal data there; for personal appointments, use the booking form, WhatsApp or the telephone.

Technical error reports

In the event of a fault we receive a technical error report containing, among other things, your browser type and the page you visited, so that we can resolve the problem. Legal basis: our legitimate interest in a website that works.

Who else sees your data

We engage service providers who process data on our behalf. We have concluded data processing agreements with them. They are:

• Vercel — hosting of this website
• Railway and Supabase — the booking application and the database (European Union)
• Resend — sending email
• Anthropic — the language model behind the chat window
• Sentry — technical error reports (European Union)
• PDOK and OpenStreetMap — address and distance calculation

How long we keep it

We do not keep your data any longer than is necessary for the purpose for which you gave it. Booking requests that do not lead to an appointment are deleted within six months. Data from a job application is deleted no later than twelve months after the last substantive contact, unless you give us permission to keep it longer. Data we are legally required to retain — for the tax authorities, for example — is kept for as long as that obligation lasts.

Your rights

You have the right to see your data, to have it corrected or to have it deleted. You may also object to the processing, withdraw your consent and ask for your data to be transferred. Send your request to info@clubcasanova.nl; we respond within four weeks. If you are not satisfied with how it is handled, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Security

This website works exclusively over an encrypted connection. Data from the booking form goes straight into our own secured application; we do not send it by ordinary email and we never sell it on to third parties. Sensitive data is stored encrypted and is accessible only to the staff who need it.

Age

This website is intended for people aged 21 and over. We do not knowingly process any data relating to minors.
